The ROLE
The Administrative Assistant will provide high-level administrative and operational support to the VP of Marketing and the CIO. This role requires exceptional organizational skills, strong attention to detail, and the ability to proactively manage complex calendars, travel arrangements, and expense processes. The ideal candidate thrives in a dynamic, fast-paced environment, can balance priorities across two executive leaders, and maintains a high level of professionalism and confidentiality.
WHAT YOU WILL DO
Executive Support
- Manage calendars for the VP of Marketing and CIO, including scheduling internal and external meetings, resolving conflicts, and ensuring meeting preparedness.
- Coordinate executive communications, including drafting correspondence, managing inboxes, and handling inquiries with discretion.
- Organize and prepare materials for meetings, presentations, and reports.
Travel & Logistics
- Plan, coordinate, and book domestic and international travel, including flights, accommodations, transportation, itineraries, and conference registration.
- Anticipate travel-related needs and provide timely updates or adjustments as necessary.
Expense & Budget Support
- Process and reconcile monthly credit card expenses for both executives, ensuring accuracy and compliance with company finance policies.
- Track and submit reimbursements, invoices, and related documentation.
- Assist with budget tracking, purchase orders, and vendor coordination as needed.
Marketing & IT Administrative Coordination
- Support functional team operations, including scheduling team meetings, off-sites, and cross-departmental sessions.
- Maintain shared departmental files, documents, and project trackers.
- Assist with special projects related to marketing campaigns, department communications, and IT initiatives.
General Administrative Support
- Maintain confidentiality of sensitive information at all times.
- Act as a liaison between executives, staff, and external partners.
- Perform other administrative duties as assigned to ensure smooth daily operations.
WHAT IT TAKES
Required
- 3+ years of administrative or executive assistant experience supporting senior leaders remotely.
- Strong proficiency in MS Office Suite
- Experience managing travel, expenses, and executive calendars.
Preferred
- Experience supporting executives in a technology-driven organization.
- Familiarity with expense management systems (e.g., Concur, SAP, Oracle, Expensify).
- Ability to handle basic project coordination tasks.
- Bachelor’s degree or equivalent experience.
